The flow of Mail Server depends upon the Mail Server Configuration done by a System Admin & also depends upon the software packages like, postmaster, exchange server, etc.,!
Generally the base concept is, All incoming mails to the server will be taken care by the incoming protocol which is called as POP3 (Post Office protocol), & all Outgoing mails from your company will be taken care by a protocol called as SMTP (Simple Mail Transfer Protocol)!
The above protocols will by identified to the system by the common port number like for POP3 = 110 & for SMTP = 25!

This port number may vary according to the requirement by the system admin!

All the incoming & outgoing mails will first reach the Mail Server & it will circulated into the network & out of the network according to the addressee's weblink!

For incoming mails, time delay will be set on the server!

For Example, "30mins once all mails should be downloaded for all users accordingly", This type of conditional time delay can be set by the sys admins!

This is the general flow of mails! And it may vary based upon the package used & the sys admins configs!

Hope I'd answerd for the your need exactly....
